We have had several conversations about blind copying people into emails in the last few weeks.

As we work with various clients and some very confidential situations and with data protection in mind, we have recently got into the practice of permanently blind copying people into our emails and have been asked why.

Later at a recent Trustee meeting, the Chair shared with the group that one of the recipients of her weekly email had received a spam email from another participant in the group, which naturally caused concern.  After the meeting, I explained and demonstrated blind copying people into an email for future use.

One of the services we offer at Proactive Assistants is Mail Management.  We help several of our clients manage their emails and file them appropriately or mark them for Action needed.  Here are some tips that we use to help with that task.

Tips

  1. Don’t get distracted throughout the day by your email pinging.  Set time aside to check emails at set times each day.
  2. Turn off Email Notifications.
  3. Inbox Rules and Filters can be handy tools to prioritize and put into different folders or colour code.
  4. It is good business practice to reply to emails on the same working day.
  5. Only keep emails requiring Urgent Action in your Inbox or Flag them.
  6. Create a ‘To Do’ folder for pending emails that require attention.
  7. Make Subfolders and label accordingly for ease of reference.
  8. Set a signature on your email to save time doing this every time.
  9. Unsubscribe to junk emails and newsletters that you will never read.
  10. Use your Calendar for email actions and reminders where you can add the folder location.
  11. Request removal from Group Emails that are not relevant.
